Build a surplus case list you can actually review.

Keep the county case number, owner of record, address roles and source link on one row. Add cases here, then download a CSV for your team. Everything stays in this browser tab until you download it.

Your stable ID. Do not replace it with a row number.
The county that issued the case number. Case numbers repeat across counties.
County names repeat across states too.
Keep leading zeros exactly as the county prints them.
Copy the name from the relevant filed record.
The rule for who may claim can depend on the sale.
Claim timing can depend on it. In a Florida judicial sale, surplus still with the clerk a year later is presumed unclaimed, unless a proceeding to decide who is entitled to it is still pending.
The parcel sold, not the owner's current location.
Keep this separate from the property address.
Link to the county case or property record.
This is research status, not claim eligibility.
Who checks this case next. A name or initials is enough.
Write the next check, not a guessed conclusion.

Entries stay in this tab's memory and are never sent to Locate. Closing or reloading the tab clears them. Download the CSV before leaving.

The CSV keeps leading zeros in parcel and case numbers, but a spreadsheet app can drop them if you open the file directly. Import it instead and set those columns to Text.

Why these columns

One case number, one line of evidence.

A county file, deed, obituary and people-search result answer different questions. Keeping their fields separate makes the next reviewer able to see where a name came from and what still needs checking.

  • A case number belongs to a countyThe same number can be a real case in two counties, so the county and state are what make it unique.
  • Start with the owner of recordCheck the case and relevant property record before looking for a number.
  • Keep clues as cluesA possible relative, obituary or mailing-address match is a reason to investigate, not proof of an heir or claim.
  • Take the CSV to your own systemThe first row uses stable names. You can check it with our free CRM CSV checker.
